POSITION FILLED: JOB OPENING – EXECUTIVE ASSISTANT & PERSONAL ASSISTANT

About the Role
You must be an exceptional communicator, be fast on your feet, be comfortable multi-tasking in an ever-changing industry, and have the confidence to take on new tasks with minimal direction. Many responsibilities will be the same for both principals, but you will also need to be flexible enough to work within each principal’s individual style and needs.
Role Expectations
- Provide professional and personal, confidential, executive support to two Principals
- Manage and maintain business and personal schedules, appointments and travel arrangements
- Coordinate meetings and liaise with Event Manager
- Manage contact lists and client relationship database
- Build and maintain relationships with clients
- Monitor voice and email messages, prepare and edit correspondence
- Attend meetings and take notes as requested
- Organize receipts for expense reports
- Provide administrative assistance and research for the completion of Principal’s projects. Maintain daily Work in Progress report.
- Provide intermittent support to the Executive Vice Principal team
- Attend to personal errands as required
- Manage corporate sporting seasons tickets
- Be accessible during office hours with occasional availability required outside of regular office hours
Role Requirements
- Flexible approach to work and ability to work under pressure to meet multiple demands
- Strong attention to detail
- Superior interpersonal communication skills
- Professional business writing experience
- High level of professionalism, presentation, energy, speed and accuracy
- Positive attitude, with an eagerness to learn and grow
- Excellent multi-tasking and organization abilities
- Digitally conversant and proficient in Microsoft Office suite. Google docs, project management tool experience an asset. MAC and PC environment
- Familiarity with standard office equipment
- Minimum 1 – 2 years of experience in related role
- Experience and/or interest in Real Estate Development industry is an asset
