You will join Western Canada’s largest real estate marketing organization, McNeill Lalonde & Associates (MLA Canada).

As we take on this exciting new challenge, we are seeking an Office Assistant to join our team for a 12-month maternity leave contract! You will report to the Director of HR and help us create a welcoming environment for our guests and our team members here at MLA Canada. Please note, only residents of the Lower Mainland will be considered at this time. This role is working full-time daily in our Vancouver office.

 

Depending on your experience and knowledge, your core responsibilities will be but not limited to:
 

  • Welcoming visitors at the front desk; welcoming, directing, and announcing them appropriately
  • Answering the switchboard, screening and forwarding incoming phone calls
  • Receiving and sorting daily mail/deliveries/couriers and office deposits
  • Champion of office rhythms, health and safety support, yearly maintenance requests
  • Ensure the entire office is tidy and presentable – always being client ready and adhere to MLA Shine!
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Ordering and maintaining office supply inventory and tracking budgets
  • Reconciliation of credit cards
  • Update calendars and schedule meetings for various departments
  • Arrange travel and accommodation, preparing itinerary if applicable
  • Collaborate with EAs when necessary to support executive team
  • Support Culture Committee with set-up and other tasks for client and corporate events
  • Collaborate with HR to assist with on-boarding and off-boarding duties
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing when necessary
  • Supporting HR with IT inquiries and incoming help desk emails

Requirements

WHAT YOU BRING TO THE TABLE

  • 1-3 years of office experience mandatory
  • Relevant education (Certificate/Diploma/Degree) from a recognized institute
  • Proficiency with Google Apps, MS Office applications (Office 365) and various tech programs
  • Ability to produce results independently while maintaining a positive team environment
  • An amazing attention to detail with an ability to thrive in a fast-paced environment
  • Time-management skills working under pressure with multiple projects and timelines
